Admin quick-start: first 30 minutes on Gaffer

1. Sign in at app.gafferai.uk

Gaffer lives at app.gafferai.uk. Use the email and password we set up for you. If you haven't got credentials yet, reply to your onboarding email and we'll send them the same day.

First-time sign-in — you'll land on the dashboard with an onboarding wizard. Work through it. It takes about two minutes and saves you from setting up the wrong things first.

2. Work the setup checklist

On your first few visits the dashboard shows a setup checklist at the top. The items are ordered on purpose — do them in order and you'll be operational without having to circle back.

  1. Confirm your company details. Settings → Company. This is what appears on timesheets and audit exports.
  2. Add your first job. You need at least one job before workers can clock in. Use + New Job on the dashboard.
  3. Add at least one worker. Workers can't log in until they exist. See Inviting workers.
  4. Enable push notifications when prompted. The dashboard will push alerts for RAMS lapses, missed clock-ins, and the morning brief.

You can dismiss the checklist with I'll do this later, but we'd rather you finish it — everything after this point assumes these are done.

3. Create your first job

On the dashboard, click + New Job. You'll need:

  • Job name — e.g. Riverside Apartments — Block C.
  • Site address — this becomes the GPS anchor for clock-ins on site.
  • Start date and optional end date.
  • Initial workers — you can assign now or later.

Saved jobs appear on the dashboard under Active Jobs and in the Jobs page. A worker can only clock in to a job they're assigned to, so make sure you add them before Monday morning.

4. Add a worker

Go to Workers in the sidebar, then + Add Worker. The minimum info is name and trade. A 4-digit PIN is generated for them — write it down or screenshot it; you'll share it with the worker along with the app link.

5. Read the morning briefing

The dashboard opens with an AI briefing at the top — a short summary of what Gaffer thinks matters today: risk, people on site, cert lapses. Below that, the Today at a glance panel shows three KPIs: Active jobs, Workers on site, and Compliance score.

If you see Refreshing or placeholder text, it just means no data has flowed in yet. Add a job + a worker, have someone clock in, and the briefing starts writing itself within a few minutes.

The briefing runs on the agent. The agent is only as useful as the data it has — so the first week is mostly about getting workers logging in and RAMS uploaded. After that it genuinely starts saving you time.
